How To Enroll
Apply early! Because of our limited number of openings for each trip, applications are processed on a first-come, first-served basis. Many trips fill early, so we urge you to submit your application along with your $800 deposit at the earliest possible date to ensure you get the desired course. There is no deadline for submitting applications. After May 1st, you should call the Moondance office to inquire about any available openings.
Application / Deposit
To apply, complete the registration form located on page 65 in the catalog and mail it with an $800 deposit check, or charge it to your Visa or MasterCard. This deposit will be applied towards the full tuition of the program. The deposit is fully refundable if the applicant is not accepted. Both a parent and the student must sign the original application. We also ask all applicants to send a recent photograph to help put names and faces together.
Enrollment and Admissions Policies
Once we receive your application and deposit, we will call your teacher references to receive a positive recommendation and then call you to confirm your enrollment. We will then forward to you an acceptance letter and TIP (Trip Information Packet) that will include required forms including, but not limited to, the Moondance Medical Form, Acknowledgement of Risk from both Moondance and all subcontracted outfitters for that particular trip. These forms contain important information about our program, the risks associated with the program and your responsibilities. All forms must be completed and signed by participant and parents and/ or legal guardian. Failure to return these in a timely manner will jeopardize your space. Moondance reserves the right to cancel applicants with no return of fees if our forms are not received by May 15, 2010.
Tuition / Final Payment
Upon acceptance, the tuition balance is due and must be submitted no later than March 1st, 2010. Applications mailed after March 1st must be accompanied by full payment. Our fee for each expedition is based on per person. All payments must be in U.S. dollars. Airfare is not included in the cost of the trip except our Kilimanjaro trip.
Tuition Discounts
For discounts to apply, full tuition must be received by March 1st, 2010.
• Receive a $100 tuition credit for any referral you provide that signs up for a 2010 Moondance adventure. The referral must list you on their application to receive credit.
• Receive $100 tuition credit for any Moondance Alumni who signs up for a 2010 adventure.
Trip Cancellation Insurance?
To insure you against unexpected emergencies, we strongly urge parents to secure their investment by purchasing an inexpensive tuition refund insurance policy. This reimburses you should you have to cancel due to unforeseen reasons. More information is included in your acceptance packet.
Airfare Is Not Included In The Cost Of Your Trip
Moondance utilizes the services of All Seasons Travel to assist with efficient coordination of participants. They are extremely knowledgeable about our guidelines for arrival and departure times, connecting time allowances, and securing the best available fares. All Seasons Travel also has the capability to assist with emergencies should they occur such as canceled or delayed flights. Planning ahead gives them time to get the best deals, so make your travel arrangements early!
Flights will be coordinated with other students from your area, enabling them to travel on the same flight and, when possible, be seated together.
Payment Deadlines
If final payments have not been received by the March 1st deadline, Moondance has the right to cancel any application for which payments have not been received, and shall have no obligation to refund payments previously made. A 3% late fee will be applied to any outstanding balance more than 15 days past due. Moondance reserves the right to cancel any unpaid applicants whose full tuition is more than 30 days past due with no return of fees.
Additonal Cost / Spending Money
Students should have a small amount of money for incidentals such as souvenirs, gifts, showers and personal items. We recommend $60 per week of expedition; we encourage bank check cards or ATM cards rather than cash.
Refund Policy
When you sign up for a Moondance trip, you have accepted a limited space within a small group. Once that space is reserved, we are no longer able to offer it to others. When a student withdraws before the start of their trip, whether personal, academic or medical reason, or if a student withdraws (or is dismissed) after the trip begins because of medical or other reason, Moondance is no longer able to fill that space. Moondance cannot recover course expenses if you cancel, even if due to illness or injury. The seasonal nature of our program prevents any tuition refund, or the reduction of tuition for late arrival, early withdrawal, or cancellation for any reason. Expenses are contracted for the season and are based on a total-group, rather than a per-person basis. Investments have been made in staffing, planning, food and equipment purchases before the trip. The parent of any applicant who withdraws from his/her trip must do so in writing. If a notice of cancellation is received in writing before February 1st, the applicant forfeits $500 of the $800 deposit. An applicant, who withdraws from his/her course after March 1st but before April 1st, will be refunded the entire tuition, less the $800 deposit. An applicant, who withdraws from his/her trip after April 1st forfeits the entire tuition, provided the trip does not fill. If the trip does fill, then Moondance will refund the entire tuition, less the $800 deposit.

Transportation
Trips begin at a major airport where all students are met by their trip leaders. Our domestic trips travel in new, 12 and 15 passenger vans to transport us between activities, keeping time on the road to a minimum.

Group Placement
One of the true benefits of an adventure travel experience is meeting and living with other students from around the country. The bonds that form over a short period of time cannot be easily duplicated. Each expedition group is co-ed and never larger than twelve students which are grouped by similar age. On almost every trip, we will have multiple groups and it is important to divide students by age to create compatible groups. Moondance reserves the right to make the final decision on all groupings. There are always at least two qualified leaders (one male, one female) with each group. It is the Moondance policy that no more than two friends are in the same group. All applicants must submit a teacher reference to ensure diverse, but workable groupings, and every student is assumed to be highly motivated and group-oriented.
Trip Information Packet
Upon acceptance, each participant will receive a Trip Information Packet, which will include every detail you will need to know for your trip: course description, travel information, medical forms, student questionnaire, general liability release forms, and equipment and clothing list. We will supply you with liability release forms from both Moondance and the professional outfitters with whom we subcontract throughout our trips. These forms must be signed by a parent/guardian and the student, and should be returned within 14 days of notification of acceptance. All medical forms must be returned to our office no later than May 1st. Until your forms have been received and reviewed, your admission is still pending. It is the parent/guardian’s obligation to notify us of any changes in their child’s physical or emotional condition once their medical form has been returned.
